What is Indian e-Conference Visa?
People aiming to attend workshops, seminars, and conferences held in India can apply for Indian Conference visa. Such events are usually held to discuss specific subjects with like-minded people or for investment and commercial matters. This visa is offered to individual attendants and delegates. However, keep in mind that the e-Conference visa isn’t issued for events that are politically or socially sensitive.
Indian Conference Visa requirements
An essential Indian visa requirement for every applicant and delegate is that they must provide an invitation letter from the institution (whether government-owned or private), UN, an Indian Ministry, specialised agencies, state government, Central Educations’ PSUs, or the NGO that is organising the conference/event. Individual requirements for the Indian e-Conference visa include:
- A clear scan of the applicant’s passport’s information or biography page.
- The passport must necessarily be valid for at least six months.
- Residence address proof.
- Political clearance from MEA.
- MHA event clearance proof.
- Formal invitation letter from the institution/organising holding the conference/seminar.
- A digital scan of the applicant’s most recent, coloured, passport-style photograph. The image should not be over 10MB in size and over 2In X 2In dimensions. It is necessary to follow the right format for the photo; otherwise, the file will not upload. The preferred image formats include JPG, PNG, and JPEG.
- Payment card, either debit or credit, or a PayPal account to pay for the Indian visa fees.
Validity:
The Indian e-Conference visa is ideal for foreign delegates as it makes it possible to enter the country to attend a seminar, conference, or workshop without going through the hassle of visiting an Indian diplomatic mission. The primary requirement for this visa is producing an invitation letter to the event. The visa will be valid for 4 months only for Single entry, and the traveller can stay in India for a maximum duration of 30 days.

- The visa validity duration will be determined from the day the visa approval letter was issued and not the day or date on which you entered India.

Passport Requirements:
Applicants will have to submit a digital scan of their passport’s biography page and enter details of their passport, including passport number, issue date, and expiry date in the visa form. Travelers must possess a valid passport with at least 6 months left in its expiration, starting from the date of their arrival in India. Every traveler will need to have a valid passport, including minors and children. It also should have at least two blank pages for stamping purposes. Travelers must use the same passport when traveling and staying in India.

What Happens After Receiving Visa Approval?
After the visa is approved, an approval letter will be sent directly in your mailbox in PDF format. You must print out the letter and also save its digital copy on your mobile device. Take the print along when travelling to India. Carry the same passport to India, which you used while applying for the conference visa. Ensure that your passport contains two blank pages at least. You will have to show the approved visa copy and the original passport to the immigration officer for verification of documents and stamping. You may also need to fill out an arrival/departure card before proceeding to the conference.

The visa application form is very easy to fill out. It isn’t too long or asks for extensive details. The applicant only has to answer a few basic questions, such as provide full name, surname, date of birth, place of birth, residential address, contact number, occupation, and email address, etc. Moreover, they may have to answer some security-related questions, and about the conference or event, they want to attend in India.

You must reapply for a fresh visa in case your current visa has expired instead of using the same visa to travel to India. Overstaying the visa beyond its validity date may also lead to imprisonment of up to five years. The traveller may also be banned from entering the country in the future.
Prior Clearance from the Indian Ministry of Home Affairs (MHA):
There are specific situations when a prior clearance from the MHA will be necessary. Here’s an overview of the cases when a prior clearance will be required:
- If delegates from Sudan, Pakistan, Afghanistan, Iraq, stateless persons, or individuals of Pakistani origin will attend the conference. Or the participants will visit restricted or prohibited areas in India.
- If an organisation affiliated or owned by the Indian government is holding the conference, it is mandatory to seek clearance from the MHA. The organisation must send the MHA details of the event at least 30 days before the event date.
- In case a private organisation is holding the event, it must share details with the MHA at least 60 days before the event is due.
- Foreigners who already are staying in India with a Business/Work/Study/Research visa do not need to apply for a conference visa if they intend to attend a seminar/conference. Instead, they must obtain formal permission from the FRO/FRRO. They need to apply to the FRO/FRRO, providing all the relevant details of the event to receive approval.
